The Situation

Bethany Christian Care operates two residential aged care facilities across Brisbane with 220 beds. Like most providers navigating the post-Royal Commission compliance environment, they were managing quality and compliance across a patchwork of manual systems — paper forms, shared drives, and spreadsheets — that made every audit preparation a significant undertaking.

The problem wasn’t staff performance. It was the tools. Gathering compliance evidence across two sites required someone to physically collect, collate, and cross-reference documentation living in different formats and locations. They needed a single system that gave management real-time visibility without disrupting how staff actually worked.

What We Built

Compliance workflow digitisation

We mapped Bethany’s existing compliance processes across all four staff cohorts — clinical, domestic, maintenance, and support — and translated them into a streamlined digital workflow. The design priority was minimising friction: if the system was harder to use than paper, staff would work around it.

Iterative testing with staff from each department before full rollout meant the platform reflected real working patterns, not idealised ones. The result was adoption without the typical resistance that comes with system changes in aged care.

360-degree feedback system

We built a structured feedback mechanism for residents, families, and staff — capturing care experience data from all three groups and surfacing it to management in a way that was actionable rather than archival.

This feedback loop directly supports ACQSC requirements for demonstrated resident and family engagement, and gives management the early signals they need to address emerging issues before they become incidents.

Real-time management dashboard

Rather than end-of-month reporting, Bethany’s management team now has live visibility of compliance status, outstanding tasks, and resident care issues across both facilities from a single dashboard.

The always-ready audit position means that when an ACQSC assessment is scheduled, the evidence gathering that previously took days is already done — it’s a matter of export rather than assembly.
